S46 Search for File – Criteria

 

Purposes:

 

This screen will allow the MIMS user to search for a MEP file in MIMS.  MIMS can retrieve a single MEP file record that matches the criteria entered or can search for all matching records to match the entered criteria and display a results list.  The MIMS user can then select the MEP file from the Result List.

 

Prerequisites:

 

1.       MEP user must have applicable security authorization.

            The following groups have access to this screen:

 

                  All MEP Users

                  HR & E

                  Legal Services Agents

 

2.       A file must already be set up with a number assigned and approved.

 

Helpful Hints:

 

·         You can search for active, incomplete and closed MEP files.

·         When entering a MEP File Number preceding ‘zeros’ are not required (i.e:  for MEP File Number 0000-111, enter as 111).

·         Hyphenating is not required and will result in an error message if used in the MEP File Number (1002-142 enter as 1002142).

·         Search criteria are not case sensitive.  i.e. uppercase, lower case or a combination of case can be used in fields.

·         When entering information onto a file access is available to more than one user at a time.  Whichever user hits ‘Save’ first will have their information stored first

Procedure:

 

1.       Begin by selecting File Tab.

2.       If MEP file number appears in the “File Number” field delete before proceeding.

3.       Enter a MEP File Number in the “File Number” field and click the search button.  If a file is found it will open screen S61 Maintain MEP File and default to the Events Tab.

4.       If the MEP file number is unknown, enter information in one or more of the other fields and click the search button. The more criteria entered the narrower the search will be. The Results List will be displayed.

5.       “Sort Criteria” can be chosen when a wider criteria search is being requested to sort the large number of files that will likely be found.

6.       Select a MEP file from the Results List by clicking the File Number hyperlink.

6.   To clear the previous information and re-enter your search criteria, click the reset button.

File Information

MEP File Number

Enter the specific MEP File Number and click the ‘Search’ button.

If a file is found it will open screen S61 Maintain MEP File and default to the Events Tab.

Input length up to 7 characters

File Status

If required, select a status of Active, Closed or Incomplete from the drop down box.

Court File Number

If known, enter a Court File Number.

Input length up to 15 characters.

Party Information

Party Number

Enter a Party Number.  This will search for all MEP Files with this party number related to the file.

Party Role:

Select Debtor, Primary Creditor, Creditor or Dependent from the drop down box.  Must be used in conjunction with the Party Number.

Party Type - Individual

Last Name

Use the drop down box to select “Exact” or “Starts With” to enter last name.

The search will look for a match where the name entered has a party file role.

A minimum of 2 characters must be entered to search with “Starts With”.

Input length up to 50 characters.

First name

Use the drop down box to select “Exact” or “Starts with” to enter first name.

Must be used in conjunction with last name.

Input length up to 50 characters.

Middle Name

Use the drop down box to select “Exact” or “Starts with” to enter middle name.

Must be used in conjunction with last name.

Input length up to 50 characters.

Birth Date

Enter the birth date using the following format '‘YYYYMMDD’, where Y = Year, M = Month and D = Day.

Must be used in conjunction with last name.

Other Identifier:

Select from the down box one of the Identifiers options and then enter the corresponding information for that identifier.

MIMS will automatically add dashes between numeric characters for SIN, PHN, and AB client MVID.  The MIMS user must enter other identifiers exactly as were originally entered to MIMS.

Sort Criteria

Sort Order

Select the preferred sort order from the drop down box.  Can be sorted by debtor name, primary creditor or file status.  The result list screen will be sorted by the selected sort criteria.

Sort result display default is ‘Debtor Name’.

Click the ‘Search’ button after entering one or more search criteria.

Resets screen back to most recently used default.
